Using the Calendar

This documentation applies to ZetaBoards only.

The Calendar can be accessed by clicking Calendar below the board logo at the top of the page. When viewed, the calendar will be presented in a table format.

This documentation is for using the Calendar itself. For how to configure the calendar and control permissions, please see the Admin CP documentation.

Adding Events

At the bottom of the calendar display, there are two buttons. The first button is used to add a single event, and the second to add a recurring event.

Single Events

Single events only occur once, and are added by clicking the Add Event button at the bottom of the calendar display. You will then be presented with a form to fill out:

  • Event Title is the name of the event to be added. This will appear in the calendar view and board index.
  • Event Start Date is the date at which the event is due to start.
  • Event End Date is the date at which the event is due to end. If this date is different from the start date, you will create a “ranged” event, which is spread over a series of days.
  • Event Title colors changes the colors used to display the event in the calendar view. Intended to make important events stand out.
  • Event Publicity allows you to choose whether the event is public or personal. Personal events are viewable only by the user adding the event, whereas public events are viewable by all members. Not all user groups have the ability to add public events, but everyone can make personal events.
  • Event viewing permissions: this combo box requires those adding the event to select which groups may view the event. This works alongside the Event Publicity option, and multiple groups may be selected by holding down the Ctrl key on a keyboard whilst clicking the group name.
  • RSVP: Use RSVP to get a count on those planning to participate in your event. The default setting is No RSVP. Choose who sees the RSVP from the selection box. The RSVP can be public, for admins and moderators only, or viewable by the poster only. (The last setting can be useful for setting up your event topic ahead of time.) Members will be able to respond by clicking Yes, No, or Maybe links that will appear in the event topic, and responders can edit their response at any time. A tally of the members names and their responses are available by clicking the RSVP link.
  • Event Details is used to add further information regarding the event. This information will be shown when the event title is clicked in the calendar view or board index.

Repeating Events

Repeating events occur at regular, user-defined intervals. These are added by clicking Add Repeat at the bottom of the calendar view. You will then be presented with a form to fill out:

  • Event Title is the title of the event to be added. This will appear in the calendar view and board index.
  • Event Start Date is the date at which the event is due to start
  • Repeat Event defines how often an event is due to repeat. Weekly,Monthly and Yearly may be chosen from.
  • Event Title Colours changes the colours used to display the event in the calendar view. Intended to make important events stand out.
  • Event Publicity allows you to choose whether the event is public or personal. Personal events are viewable only by the user adding the event, whereas public events are viewable by all members.

At the top of the calendar view, the current month will be displayed; with the previous and upcoming months on the left and right hand-sides, respectively. Clicking on either of these months will take you to the appropriate calendar view for that month. You may also navigate directly to a month and/or year of your choice by using the Jump to: drop-down menus at the bottom of the calendar display.

Birthdays

Next to each date on the calendar, there is a small birthday cake icon followed by a number. This indicates that members are celebrating their birthdays on that date. Clicking on the icon will bring up a page displaying the members' names, along with the age they will be on their birthday in brackets.

Birthdays are added automatically to the calendar as per the birthday settings in the user profiles, and therefore requires no manual input.

Viewing Upcoming Events

Upcoming events can be viewed in the Board Statistics section of the board index. Clicking on an event title will present further details of the event.
